Start by naming the operating model
An in-house receptionist, outsourced live receptionist, AI voice agent, and hybrid service can all answer a phone, but they organize labor, supervision, capacity, and exceptions differently. A live service assigns conversations to people working from a script. An AI-first system applies configured branches and creates records at machine speed. A hybrid can route defined situations between the two. None of those labels tells you whether the resulting intake is complete or useful.
Ask each provider which model handles the first turn, who or what takes over during an exception, and which capabilities are included in the exact package being quoted. Terms such as “AI-powered,” “human,” and “24/7” are too broad to settle the decision. The operational truth is visible in a recorded test, its fields, the handoff, and the invoice assumptions.

Run one evaluation packet across every provider
A polished demonstration is not a matched comparison. Build a packet of firm-approved scenarios: a new motor-vehicle inquiry, an existing client, a vendor, a caller who wants a person, a Spanish-speaking caller, a scheduling conflict, an unclear incident, and a call that disconnects midway. Use fictional information and never place real client facts in a sales test.
For each scenario, preserve the recording when permitted, transcript, summary, captured fields, final disposition, scheduled event, transfer result, notification, and CRM record. Have the same intake manager score all providers. This shows whether the service follows the firm’s actual rules, not merely whether the voice sounds pleasant.
Inspect the artifact that staff receives
The durable product is the operational record. A receptionist can sound excellent and still leave staff reconstructing the call from a paragraph. An automated system can produce many fields and still route the matter incorrectly. Evaluate identity and contact details, incident facts, reported injuries and treatment, prior representation, consultation status, follow-up owner, and review flags as separate elements.
Then test recovery. What happens when a calendar rejects a slot, a transfer is unanswered, a required CRM field is invalid, or the caller corrects a date? A trustworthy workflow exposes incomplete and failed actions rather than silently marking the interaction complete.
Normalize cost before comparing a price label
Providers bill by different units: minutes, calls, included interactions, completed intakes, base plans, setup work, or negotiated scope. Convert every quote into the same expected month. Include forecast volume, average duration, short calls, whole-minute rounding, overages, transfers, bilingual coverage, chat, outbound work, setup, integrations, taxes, and carrier or compliance charges where applicable.
Do not assume the lowest base price creates the lowest operating cost. Also do not assume automation creates savings. The firm must add its own review time, coverage gaps, supervision, duplicate entry, and exception handling to the worksheet.
