Filevine and Lead Docket cover intake once a lead exists

Filevine describes Lead Docket as automating legal intake from first click to signed retainer. When a lead arrives by web form, live chat, or an after-hours call, Lead Docket can send automated SMS and email follow-ups. Its features include custom intake scripts, intake forms, e-signatures, document collection, payment links for retainers and consultation fees, marketing-spend ROI by source, and referral-fee tracking with automatic partner check-ins. Lead Docket’s AI reads intake documents and answers staff questions about leads.

When a case is signed, Lead Docket pulls it into Filevine as a new project, with custom fields mapped. Filevine then carries the case: texting from the case file, Vinesign e-signature with payment requests, a client portal, and AI for legal work such as medical chronologies and demand preparation. These are strong reasons PI firms run Filevine, and LegalVoice does not replace them.

The gap: who holds the conversation when a new case calls

Lead Docket’s features page says it integrates with call-tracking numbers, website forms, and answering services, and Filevine’s integrations page has a Virtual Receptionist and Lead Intake category. In 2022, Filevine announced it would move users of Ringbird, its in-house receptionist service, to Smith.ai. The official pages reviewed did not describe an AI or staffed answering service run by Filevine itself.

That leaves the live conversation to the firm’s staff or a partner. An automated text after a missed call helps, but somebody—or something—still has to ask the accident questions, book the consultation, and send the retainer while the caller is ready.

What LegalVoice adds on top of Filevine

LegalVoice answers the configured line, runs the firm’s PI intake, and writes the result into the firm’s systems under explicit rules. Both connections are configured per firm with the firm’s own credentials and stay reviewable.

  • AI voice and website intake around the clock, after hours, or as overflow, with configured transfers and owned callbacks.
  • Lead Docket opportunity creation filtered to the firm’s own form fields and case-type values, with an optional fuller intake note.
  • Filevine lookup that is read-only by default; case phase stays hidden until the caller’s identity is verified, and ambiguous matches go to staff.
  • Filevine handoff actions—a record, an intake note, a follow-up task, or web-intake attachments—only when the firm explicitly enables them.
  • Rejected or failed writes recorded as retryable errors, so a failed sync never looks like a completed one.
  • Calendar-confirmed consultation booking, native e-signature, dropped-call recovery, and SMS/email follow-up.
What should stay in Filevine and Lead Docket

Keep the case file, the Lead Docket pipeline, marketing ROI, referral-fee tracking, client portal, and legal-work AI in Filevine. LegalVoice is not a case-management system and is not a substitute for Lead Docket reporting.

Decide a few ownership rules before launch: which system sends the retainer (LegalVoice e-signature or Vinesign), which record is the source of truth when a caller is already in Lead Docket, and who owns follow-up when a write is rejected.

Roll out with a mapped, fictional test

Start with after-hours and overflow calls. Map the firm’s Lead Docket form fields and case types, confirm which Filevine actions are allowed, and run fictional calls: a new accident caller, an existing client asking for status, a provider, a Spanish-speaking caller, and a caller who hangs up. Check what appears in Lead Docket and Filevine for each, including the error states.

Expand coverage only after staff have reviewed the transcripts, corrected edge cases, and approved the escalation behavior.

Common questions

Does LegalVoice replace Filevine or Lead Docket?

No. Filevine remains the case-management system and Lead Docket the intake pipeline. LegalVoice answers and qualifies calls first, then hands the intake to them under rules the firm approves.

Does Filevine answer phone calls with AI?

On October 13, 2026, Filevine’s and Lead Docket’s official pages did not describe an AI or staffed answering service of their own. Lead Docket integrates with answering services and call tracking, and Filevine lists receptionist and intake partners. Filevine’s AI is described for intake documents and legal work such as demand preparation.

What does LegalVoice write into Filevine and Lead Docket?

Only what the firm configures. LegalVoice can create a Lead Docket opportunity filtered to the firm’s form fields and add an optional intake note; in Filevine, lookup is read-only by default, and record, note, task, or attachment actions run only when explicitly enabled. Failed writes stay visible for retry or review.

Is LegalVoice a Filevine partner?

LegalVoice connects to a firm’s Filevine and Lead Docket accounts using credentials and settings the firm provides. This page does not claim a Filevine partnership, endorsement, or certification.
