LegalVoice can send configured intake, consultation, document, and staff follow-up email from a firm-connected Gmail mailbox after the account grants the required scopes. The connected firm mailbox remains the sender; LegalVoice does not silently substitute another customer’s mail identity.

What the Gmail workflow supports

LegalVoice describes only the actions supported by the configured Gmail path. Availability still depends on the firm’s account, permissions, field mappings, and enabled workflow.

  • Connect an agency-owned Gmail account through OAuth.
  • Send configured caller confirmations, links, and follow-up messages.
  • Send staff summaries and workflow notifications from the approved mailbox.
  • Record delivery attempts and provider errors for staff review.
What data is exchanged

The connector should move only the fields required for the approved intake or follow-up action and preserve provider identifiers and result states for review.

  • Approved sender mailbox and recipient addresses.
  • Configured subject, branded message content, links, and permitted attachments.
  • Call, intake, consultation, or workflow reference used for traceability.
  • Send result, provider message ID when available, and error state.
How to configure Gmail

Begin with the narrowest useful connection, test it with controlled records, and enable additional actions only after the firm reviews the result.

  • Connect the firm’s Gmail account through LegalVoice OAuth.
  • Grant the required mail scopes and confirm the sender identity.
  • Review templates, recipient rules, branding, attachments, and fallback behavior.
  • Send test messages to staff-controlled addresses before enabling live follow-up.
Known limitations and review boundaries

A connected credential is not blanket permission to read or write every record. Provider success, partial success, and failure must remain visible to staff.

  • Sending depends on granted scopes, Google account policy, quotas, and provider availability.
  • Email should be promised to a caller only after the send tool confirms success.
  • The connector does not make every Gmail mailbox or attachment type automatically available.
