E-Signature & Documents

Send the retainer by text. Get it back signed.

LegalVoice includes its own e-signature engine, so plaintiff firms can send a contingency fee agreement or a HIPAA authorization the moment the caller says yes, and get a stamped, signed PDF back without buying a separate signing seat.

Place signature, initials, date, and text fields anywhere on the page, verify the signer before the document is ever shown, and keep an append-only record of every view, verification, and signature.

4 field types placed anywhere on the page
6-digit emailed code verifies the signer
0 per-seat signing fees
24/7 intake coverage Never let nights, weekends, or overflow calls disappear into voicemail.
Human handoff when needed Escalate sensitive or low-confidence situations to staff without friction.
Reviewable call records Keep transcripts, summaries, and follow-up context in one place.
Signed without leaving LegalVoice
  • Upload the firm's retainer, fee agreement, HIPAA authorization, or medical records release as a PDF and place fields directly on the page.
  • Signature, initials, date, and text fields can go anywhere on any page, and each field is assigned to a specific signer.
  • Every signer gets their own private signing link, and can draw a signature with a finger or a mouse.
  • A signed HIPAA authorization is generated automatically as a completed PDF when a client fills out the hosted intake form.
The firm signs once, ever
  • Save the firm signature once and it is applied automatically the moment a packet is created, so only the client has anything left to do.
  • Co-signers can see where the other parties sign, and see the ink already applied by whoever signed before them.
  • The signed PDF is re-stamped after every signature, not only when the last party finishes.
  • Request, your-turn, and completion emails are sent from the firm's own connected mailbox.
Signatures that hold up
  • Before the document is shown, the signer confirms the email address it was sent to and enters a six-digit code emailed to them.
  • Every view, verification, signature, and email is written to an append-only ledger that captures the IP address, browser, and timestamp.
  • A visible "signed by, at, from IP" line is stamped into the PDF itself, so the proof travels with the document.
  • Signing links do not expire, and there are no automatic reminders — the firm controls follow-up.
Already using DocuSign?
  • LegalVoice connects to an existing DocuSign, PandaDoc, or AssureSign account if the firm would rather keep it.
  • Documents sent through a connected account appear on the client timeline as signature activity.
  • Each packet holds one document and all signers are invited at the same time, rather than in a fixed order.

Common questions

Is a signature collected through LegalVoice legally valid?

Electronic signatures are recognised under the federal ESIGN Act and under UETA, which nearly every state has adopted. What matters in practice is the evidence behind the signature. LegalVoice records who opened the document and when, how their identity was verified, the IP address and browser they signed from, and stamps a line into the finished PDF saying who signed it, at what time, from what IP. This is not legal advice — your firm decides what is appropriate for your matters.

Does the client need an account, an app, or a DocuSign login?

No. They tap a link, confirm the email address the document was sent to, enter the six-digit code emailed to them, and sign — drawing the signature with a finger on a phone or a mouse on a laptop. There is nothing to install and no password to create.

How do you know it is really the client signing?

Two steps, before the document ever opens. First they type the exact email address the packet was sent to. Then they enter a six-digit code emailed to that address. The code lasts ten minutes and allows five attempts, and the verified session lasts three hours. The code itself is never stored, only a one-way hash. Until both steps pass, the document, its pages, and the field positions are never sent to their browser.

Can we send a retainer or a HIPAA form by text instead of email?

Yes, through an outbound campaign. The campaign creates a signing link for each person and sends it as two text messages — a short note first, then the bare link on its own, which is far more likely to get through carrier filtering. Sending from the document workspace goes by email, from your firm’s own connected mailbox rather than a generic vendor address.

Can more than one person sign the same document?

Yes, as many as the matter needs — client, spouse, guardian, co-counsel. Each gets their own private link, and every link is issued at the same time rather than in a fixed sequence. As each person signs, those still outstanding get a your-turn-to-sign email, and the signed PDF is rebuilt so the next signer sees the ink already on the page.

Do we have to sign every single retainer ourselves?

No. Save the firm signature once in settings, mark your firm as a party that signs automatically, and it is applied the moment the packet is created, with the date filled in. By the time the client opens the link, your side is already done.

What happens to the document once it is signed?

The signed PDF is regenerated after every signature, not only at the end, so there is always a current signed copy even mid-way through a multi-party packet. When the last party signs, the packet is marked complete, the finished PDF is stored with the matter, and every signer gets an email with a download link.

We already use DocuSign. Do we have to switch?

No. LegalVoice connects to DocuSign and PandaDoc through their standard sign-in, and to AssureSign/Nintex with your account credentials, and sends through whichever you have connected. A raw DocuSign signing link goes stale after about five minutes, so LegalVoice gives your client a stable link that opens a fresh session on every click.
